Reporting
Reporting on progress is a crucial part of the Equity Action Plan (EAP), as laid out by goal 5:
During the development of the EAP we heard that there is a lack of trust when it comes to the evaluation of equity related initiatives, especially from systemically and historically marginalized populations. There is a desire for reporting to be meaningful and go beyond performativity.
Therefore, Action 10 under goal 5 states: Design an ongoing reporting mechanism for the campus community that involves sharing progress on the EAP, consulting on reprioritization and emerging issues, and communicating actions from across the university.
The goals of this reporting plan are to increase transparency and build trust while holding UVic leaders accountable to the commitments of the plan.
Ongoing progress

Portfolio-specific reporting surveys have been created so that unit/faculty leaders can share progress on each EAP action where their portfolio has been assigned lead. For the purposes of this reporting cycle, we are asking leaders to share activities complete/sustaining and to indicate specifically what level they are taking place at:
- University-wide activity(s) complete/sustaining – one or more activities are sustaining/complete which creates change beyond the portfolio or across the university.
- e.g., The Better Data Questionnaire has been launched and will be continuously available to all UVic community members.
- Portfolio-wide activity(s) complete/sustaining – one or more activities are sustaining/complete which create change in all units across the portfolio.
- e.g., A VP develops a new mentorship program for leaders within their portfolio designed to support retention, advancement, and recruitment.
- Unit* level activity(s) complete/sustaining – one or more activities are complete/sustaining which create change within one or more units
- e.g., Equity, diversity, and inclusion training has been provided to all unit team members and leaders.
*Unit refers to all organizational units within the university smaller than a VP portfolio (e.g., faculty, department, division, office, etc.).
Leaders are also being asked to highlight one or two activities within their area of responsibility (e.g. unit, division, faculty, etc.) connected to each of the 5 EAP goals.
Continued engagement
In recognition that the EAP should shift and change as our university context does, the release of the progress report will be accompanied with a round of community engagement. This will be an opportunity to hear from the campus community and conduct a ‘temperature check’ (e.g. what are we doing well? What do we need to do more of? What needs to be reprioritized/changed?). More details will be released later this year.
